China Sourcing Due Diligence: 7 Red Flags to Spot Before Paying a New Supplier

Every year, thousands of international buyers lose millions of dollars to unqualified or fraudulent suppliers in China. While platforms like Alibaba and Made-in-China have improved transparency, the responsibility to vet a supplier still rests squarely on the importer. Here are seven red flags you must check before sending a single dollar.

1. Vague or Incomplete Business License

A legitimate Chinese supplier must hold a valid Business License (营业执照) issued by the State Administration for Market Regulation. Ask for a scanned copy and verify it against public records via the National Enterprise Credit Information Publicity System (gsxt.gov.cn). If the license is missing, expired, or the company name does not match the entity you are dealing with, walk away immediately.

2. No Physical Factory or Office Presence

Request a live video tour of the factory floor via WeChat or WhatsApp. Scammers often use stock photos or someone else\s facility photos. If they refuse a live call or give excuses like \the factory is closed for holiday,\ that is a major warning sign. A quick Google Maps check of their listed address can also reveal whether it is a residential apartment or an industrial zone.

3. Unusually Low Prices

If a quote is 30-50% lower than the market average, something is almost certainly wrong. The supplier may be planning to cut corners on materials, use substandard labor, or simply take your money and disappear. Always benchmark pricing against at least three comparable suppliers before committing.

4. Pressure to Bypass Escrow or Secure Payment

Reliable suppliers accept Alibaba Trade Assurance, Letter of Credit, or at least a T/T with a reasonable deposit (30% or less). If a supplier demands 100% payment upfront via Western Union or a personal bank account, treat it as an immediate dealbreaker. Legitimate Chinese manufacturers do not need full prepayment to start production.

5. Minimal Digital Footprint

Search the company name on Google, Baidu, and social media platforms. A trustworthy supplier should have some online presence: a company website, trade show listings, customer reviews, or at least an active Alibaba storefront with verifiable transaction history. A supplier with zero digital footprint is likely operating under a shell entity.

6. Poor Communication and Evasive Answers

During initial communications, pay attention to how they answer your questions about product specifications, lead times, and MOQ. Evasive, inconsistent, or overly aggressive sales tactics are red flags. A professional supplier will provide clear, detailed answers and welcome your scrutiny. If they rush you to make a decision or avoid technical questions, proceed with extreme caution.

7. No Third-Party Audit or Certification

While not every small factory has ISO certification, reputable suppliers are usually open to third-party audits. Companies like SGS, Bureau Veritas, and Intertek offer factory inspection services. A supplier that refuses or charges exorbitant fees for a basic social compliance or capacity audit has something to hide.

Final Thoughts

Due diligence is not optional in China sourcing. A few hours spent vetting a supplier can save you months of costly recovery efforts. Start with the business license, verify the factory physically, and trust your instincts. If a deal feels too good to be true, it almost always is.
